Data collected automatically
Our hosting provider processes standard server logs, including IP address, user agent, requested URL and timestamp, for security, abuse prevention and availability. These are necessary for the website to be delivered safely.
Analytics and advertising data are collected only if you consent. Before consent, no analytics or marketing cookie is set and no measurement tag is loaded. See Cookie Policy.
Data we do not want
Please do not send us special category data (health, beliefs, biometric or similar), payment-card numbers, or personal data about your guests beyond what is needed to plan the event. If you send data we do not need, we delete it.
Why we process it and on what legal basis
| Purpose | Legal basis |

| Website security, server logs, abuse prevention | Legitimate interests in keeping the site available and secure |
| Analytics cookies and measurement | Your consent |
| Advertising cookies, remarketing, conversion tracking, ads personalisation | Your consent |

| Direct marketing to existing clients, if offered | Your consent, withdrawable at any time |
We do not use automated decision-making or profiling that produces legal effects for you.
How long we keep it
- Enquiries that do not become bookings
- Up to 12 months from the last contact, then deleted, so we can pick up a conversation about a postponed event.
- Booking and client records
- 7 years from the end of the engagement, to meet accounting and tax record-keeping requirements in New Zealand.
- Email correspondence
- Up to 24 months unless it forms part of a booking record.
- Server logs
- Typically up to 90 days, as set by our hosting provider.
- Consent records and cookie choices
- Your choice is stored in your browser. We keep a record of consent events for as long as needed to demonstrate compliance, normally up to 24 months.
Cookies, analytics and Google Consent Mode v2
levelclash.com uses a consent layer that implements Google Consent Mode v2. Before you make a choice, the following consent states are set to denied:
ad_storageanalytics_storagead_user_dataad_personalization
Analytics and advertising cookies are not set, and Google Analytics, Google Ads remarketing, conversion tracking and personalisation tags are not loaded, until you give the matching consent. When you choose, the states are updated to granted or kept at denied according to the categories you allowed. You can change or withdraw your choice at any time through in the footer.
Rejecting is as easy as accepting, nothing is pre-ticked, and we do not treat scrolling, navigating or closing the banner as consent.
If Google services are used on this site under your consent, certain data may be shared with Google and processed for advertising measurement and personalisation. For details see How Google uses data from sites and apps that use its services and Google Business Data Responsibility. Our Cookie Policy lists the categories in full.
Who we share data with
We do not sell personal data. We share it only with processors and partners who need it to deliver the service:
- Hosting and website infrastructure — to serve levelclash.com and keep it secure.
- Email and office software — to receive and answer enquiries and store booking records.
- Analytics providers (consent only) — for example Google Analytics 4, where you allow analytics cookies.
- Advertising providers (consent only) — for example Google Ads, where you allow marketing cookies.
- Venues and subcontracted crew — where delivering your event requires it, limited to what is necessary (for example a contact name and a load-in time).
- Accountants, auditors and advisers — for statutory records and professional advice.
- Authorities — where we are legally required to disclose.
Some providers are based outside New Zealand or the European Economic Area. Where data is transferred internationally, we rely on an adequacy decision, Standard Contractual Clauses or an equivalent safeguard, and we ask providers to keep data in the region closest to our operations where that option exists.
Your rights
Depending on where you are, you may have the right to:
- ask what personal data we hold about you and get a copy;
- have inaccurate data corrected;
- have data deleted where we no longer have a basis to keep it;
- restrict or object to processing based on legitimate interests;
- receive data you gave us in a portable format;
- withdraw consent at any time, including cookie consent, without affecting processing that already happened;
- complain to a supervisory authority. In New Zealand that is the Office of the Privacy Commissioner. If you are in the EEA or the UK, you may complain to your local data protection authority.
Making a request
Email [email protected] with the word "privacy" in the subject line. We respond within 20 working days, and within one month where the GDPR applies. We may ask a question to confirm who you are before releasing data.
Deleting your data
Ask us to delete your enquiry and we will do it, unless we are required to keep part of it as a statutory accounting record for a booked event. We will tell you exactly what was kept and why.
Security
We use access controls, device encryption, reputable hosting and email providers, and keep access to enquiry and client data limited to the people who need it. levelclash.com is served over HTTPS. No system is perfectly secure, so if we become aware of a breach that is likely to affect your rights we will notify you and the relevant authority as required by law.
Children
Our events are for adults aged 20+ and over, and this website is not directed at children. We do not knowingly collect personal data from anyone under 20+. If you believe a minor has sent us data, contact [email protected] and we will delete it.
Changes to this policy
We update this policy when our processing, providers or services change. The date at the top of the page shows the current version. Material changes will be signalled on the website.
Informational template
This document is provided for information and transparency. It is drafted as a template for LevelClash and should be reviewed by a qualified lawyer in New Zealand before being relied on, and updated whenever our processing, suppliers or services change.
